Editing a Guest Profile
How to edit and what updates.
You can edit a guest profile to update contact details, preferred language, or notes. This article explains how to open the edit form and what changes when you save.
How to Edit
- Go to Dashboard → Guests.
- Open the guest (click their name or View).
- Click Edit (or the pencil icon) on the profile page.
The edit form opens with the current values. Change the fields you need and save.
What You Can Change
- Name – Update anytime. It updates everywhere the guest name is shown (reservations, list, messages if the template uses it).
- Email – Changing the email may create a new profile or break the link to existing reservations, depending on how the system works. In many setups, the email is the unique key: if you change it, the guest may appear as a different person. Prefer creating a new profile for a new email and leaving the old one for history.
- Phone – Add or update. Used for contact and for your own reference.
- Address – Add or update. Used for invoicing or formal correspondence.
- VAT number – Add or update. Used for billing and tax if you issue invoices.
- Preferred language – Change anytime. Future automated emails for this guest will use the new language. Past sent messages are not changed.
- Notes – Add or edit. Internal only; not sent to the guest. Visible when you open the profile or the reservation.
What Updates When You Save
- Guest list – The list shows the updated name, email, and any new contact info.
- Reservations – Existing reservations for this guest keep their link to the profile. If the reservation detail view shows guest data from the profile, it will show the updated data (name, phone, language, etc.) after you save.
- Future emails – Message rules that use "guest preferred language" will use the new language for emails sent after the edit.
- Past emails – Already sent messages are not changed.
Saving and Cancelling
- Click Save to apply. Fix any validation errors (e.g. required email).
- Click Cancel to leave without saving. You may be asked to confirm.
Use the profile when a guest asks to update their phone, address, or language; edit once and it applies to their reservations and future automated emails.
