Locale Resolution

How guest language is chosen (reservation → property → owner → default).

When an automated email is sent, the system must choose which language to use (e.g. Portuguese, English, Spanish). It does this by resolving the locale (language) in a fixed order. This article explains that order so you know which language the guest will receive.

Resolution Order

The system typically resolves the guest’s language in this order (first match wins):

  1. Reservation – The preferred language set on the reservation (when you create or edit the reservation, you can set the guest’s language). This is the most specific and overrides the rest.
  2. Guest profile – If the reservation is linked to a guest profile, the preferred language stored on that profile is used (unless the reservation has its own language set).
  3. Property – If the app supports it, a default language for the property may be used (e.g. for a property in Portugal you might set Portuguese as default).
  4. Owner (you) – Your account or profile may have a default language. The system may use it when no reservation or guest language is set.
  5. System default – If nothing else is set, the system falls back to a default language (e.g. English).

So: reservation language overrides guest profile language over property over owner over default.

What This Means for You

  • Set the guest language on the reservation – When you create or edit a reservation, set the guest’s preferred language. That way confirmation, check-in, and other emails are sent in the right language.
  • Or set it on the guest profile – If you use guest profiles and link the reservation to the profile, the profile’s preferred language is used (unless you override it on the reservation). Useful for repeat guests: set once on the profile and all their reservations get the right language.
  • Templates must exist in that language – For the chosen language to be used, the template must have content in that language (e.g. Portuguese, English, Spanish). If the template has no version for the resolved language, the system may fall back to another language (e.g. English). See Creating Templates and Email Best Practices.
