Editing a Reservation

What you can change, date rules, deposit toggles.

You can edit a reservation to change dates, guest details, price, or deposit. This article explains what you can change and how the system behaves when you save.

How to Open the Edit Screen

  1. Go to DashboardReservations.
  2. Find the reservation in the list.
  3. Click Edit (pencil icon) or open the reservation and then click Edit.

The reservation form opens with the current values. Change the fields you need and save.

What You Can Change

  • Property – You can change the property if needed. The system will check availability for the new property for the selected dates.
  • Check-in and check-out – Changing dates triggers an availability check. The system blocks dates that are already reserved or blocked, except the dates of the current reservation (so you can shift the same reservation without conflict).
  • Guest name and email – Update anytime. If the email matches an existing guest profile, the system may suggest or link that profile (see Guest Profiles).
  • Preferred language – Affects which language is used for automated emails to this guest.
  • Number of guests – Optional; update if the count changes.
  • Total price – You can recalculate (if the app offers it) or enter a custom amount.
  • Deposit – Add, change, or remove the deposit amount. When you add or require a deposit, the status may change to "Pending deposit". When you remove the deposit or mark it as paid, the status may change to "Confirmed" (or similar).

Date Rules

  • When you change check-in or check-out, the system validates that the new dates are available for the property (excluding the current reservation’s own dates).
  • If the new dates overlap with another reservation or blocked dates, the save will fail or show an error. Choose different dates or a different property.

Deposit and Status

  • Adding a deposit – Often sets the reservation to a "Pending deposit" (or similar) status until the deposit is received.
  • Removing the deposit – Often sets the reservation back to "Confirmed" (or similar), depending on your workflow.
  • Marking deposit as paid – If the UI allows it, this updates the status so the reservation is fully confirmed.

Saving and Cancelling

  • Click Save or Save changes to apply. Validation runs again (dates, required fields). Fix any errors shown.
  • Click Cancel (or navigate away) to leave without saving. You may be asked to confirm.

Using the AI Assistant

You can ask the AI to edit a reservation. For example:

  • "Change the check-out date of [guest name]'s reservation to June 20."
  • "Update the number of guests for reservation [ID] to 4."

The AI applies the change; open the reservation in the UI to verify.
