Reservation Statuses

Meaning of Pending, Confirmed, Check-in, Check-out, Cancelled.

Each reservation has a status that indicates where it is in the booking lifecycle. This article explains the main statuses and what they mean.

Pending

The reservation exists but is not yet fully confirmed. For example:

  • You have created it but not yet sent confirmation to the guest.
  • You are waiting for a deposit or payment before confirming.
  • You use a workflow where "Pending" means "awaiting your approval."

Depending on your settings, automated emails may or may not be sent for Pending reservations. Check your message rules (Settings → Messages) to see which events trigger emails.

Confirmed

The reservation is confirmed. The guest (and you) can rely on the booking. The dates are blocked on the calendar. Automated emails (e.g. confirmation, check-in instructions) are typically sent according to your rules when the status is Confirmed.

Pending Deposit

If you use deposits, this status means the reservation is waiting for the deposit to be paid. Once you mark the deposit as received (or remove the deposit requirement), the status often changes to Confirmed. The exact labels may vary (e.g. "Awaiting deposit").

Check-in

The check-in date has been reached; the guest is currently staying. The reservation is active. Use this status to see who is in-house today or this week. Some message rules (e.g. check-in instructions) may be sent when the status moves to Check-in, depending on your setup.

Check-out

The check-out date has been reached; the stay has ended. The reservation is complete. The dates may still be blocked briefly for cleaning, or they become available again depending on your configuration. Use this status to see completed stays and for reporting.

Cancelled

The reservation was cancelled. The dates are available again on the calendar. The record remains in your list and history so you can see what was cancelled and when. Cancelled reservations do not block dates and do not trigger confirmation or check-in emails (cancellation emails may be sent if you configured them).

How Status Changes

  • You – When you create, confirm, cancel, or change the deposit, the status updates accordingly.
  • Automation – Some plans or settings may auto-update status by date (e.g. Pending → Confirmed when deposit is marked paid, or Confirmed → Check-in on the check-in date). Check your Settings or help for your plan’s behavior.
  • AI Assistant – When you ask the AI to create, edit, or cancel a reservation, the status updates as for manual actions.

Use the status filter in the Reservations list to see only the bookings you need (e.g. all Confirmed, or all Check-in for today).
