Managing Multiple Reservations

Multiple platforms, manual vs AI, iCal sync.

When you have many reservations across several properties or platforms, you can manage them from one place: the Dashboard and calendar sync. This article gives an overview of how to stay on top of multiple bookings.

One List, All Reservations

DashboardReservations shows all your reservations in one list. You can:

  • Filter by status (e.g. Confirmed, Check-in, Pending) to see what needs attention.
  • Filter by property to focus on one listing.
  • Filter by date range to see upcoming check-ins or a specific month.
  • Search by guest name or email to find a booking quickly.

Use these filters so you do not have to scroll through everything. See Filtering and Search for details.

Reservations From Other Platforms (iCal)

If you list the same property on Airbnb, Booking.com, or another platform, those bookings are not in HostManageGo by default. To avoid double bookings and see everything in one calendar:

  1. Import the other platform’s calendar into HostManageGo (Settings → Calendar Sync). You add the iCal export URL from the other site; HostManageGo imports those events and blocks the dates on your property calendar.
  2. Result – When you open the property calendar or create a new reservation, you see both:
    • Reservations created in HostManageGo (direct bookings, AI, or manual).
    • Reservations imported from the other platform (shown as blocked or with a distinct style).

You still manage the other platform’s reservations on that platform (cancellations, messages). HostManageGo only uses the imported calendar to block dates and show availability. See Calendar Sync for how to set this up.

Manual vs AI

  • Manual – Create and edit reservations in the form. Best when you need to set exact prices, deposits, or special notes.
  • AI Assistant – Create or edit reservations with natural language. Best for speed: "Create a reservation for [guest], [dates], at [property]." Use the list and filters to find the reservation afterward and adjust details if needed.

You can mix both: create with the AI, then open the reservation and edit price or deposit in the form.

Tips

  • Use Filters (status + date range) to see "all check-ins this week" or "all pending deposits."
  • Use Calendar Sync so every property’s calendar reflects both HostManageGo and external platform bookings.
  • Use guest search when a guest writes to you so you can open their reservation quickly.
  • Check the message timeline on each reservation to see what was sent and avoid duplicate emails.
